6:36 PM: Meeting called to Order

I. Roll Call
a. Kelly was the only one that was not present at this meeting from the Central Committee

II. Approve the Agenda
a. Mongo motioned to skip the intro since we are knew each other
b. Ed second the motion.
c. Motion approved

III. Misc Thank You
a. Anthony wanted to congratulate Fina Mint (Jerry Byrd) for winning the Mr. & Mrs. Blazing Saddle Pride pageant on Thursday, April 30th
b. Anthony also Thanked Tom for the great work that he did on the Pride Guide.

IV. Committee Chair Updates (CCU)
a. Communications – Ed
i. Passed out a list of places that we can pass out the Pride Guides. Stated they are located at the Saddle, and at Justin D. and Todd’s house.

b. Rules – Susie
i. Susie was absent from this meeting
ii. Justin D informed the group that he still needs information for the 501(c)(3) from Kelly and Bryan.
iii. Jim Wilson asked if we could post the Tax information on the website. Everyone agreed that it would be a good idea.

c. Fundraising – Todd
i. Todd and Megan were both absent from this meeting.
ii. Justin D. stated that we raised $141 at the Prelims for Mr. and Mrs. Pride at the Saddle
iii. Justin D also stated that we Raised $167 at the Toga party at the Garden. This money will go back to the Garden for their shot glasses.
iv. Pride Buss is May 29th. Tony Zika brought up that it was kind of a waste of time and money if we still did this since it would just run from the Saddle to the Garden. We have no persons signed up for it yet. Anthony is going to talk to the Owner and see if we can just use him for the Pride Fest event. Sandy brought up the idea of not doing either one but to use it for a shuttle from the bars to Adventureland for Gay Days on June 15th. Anthony with talk to the owner to see if this is possible.
v. Justin D stated that we will be selling the Adventureland tickets at Pride Fest both Saturday and Sunday. They are $21 a ticket and can only be used for June 15th. Also if anyone would like some to sell just let Justin D know and he will get you some.
vi. Pride Idol is again this Friday, May 8th at 8 pm. Marty and Justin D are going to try to be there.
vii. We raised $45 after expenses were paid out at the Dinner & a Movie at Rio on April 22nd. The one that is scheduled for May 20th has been canceled due to Rio closing.
viii. Mr. & Mrs. Pride Pageant at the Garden is May 22nd. Tony has posters and will put them up this week.
ix. Pride Volleyball Tournament is May 16th at the Sands. We have 8 teams signed up already. If you know of a team or would like to sign up a team please contact Justin D by May 15th at noon.

d. Parade and Pageants – Justin M and Marty
i. Justin M stated that we need Golf carts for Pride Fest. He has contacted Golf Carts of Iowa. It was brought up that we need about 3 golf carts. It was brought up to have 1 flat bed cart and 2 two-seater golf carts for both Sat and Sunday. Justin D. motion to approve and Mongo second it. Motion approved. Justin M will contact Golf Carts of Iowa to arrange the carts.
ii. Justin M and Marty also stated that they wanted to send out emails to all of the parade participants. A sample was read and it was agreed that he would send it to Ed to approve and then Justin and Marty will send it via email to all of the participants.
iii. Mr. & Mrs. Buddys Pride is May 9th at 7 pm. It is going to be ran as the Mr. & Mrs. Buddys pageant, but the winners will have the choice to go on to the finals for Mr. & Mrs. Capital City Pride. Marty and Justin D will be at the pageant. Marty will work with Skip to finalize the details before Saturday.

e. Pride Fest – Bryan
i. Bryan got the Sound permit for the Pride Fest. It cost $100 and he will send Angela the receipt for it.
ii. There are 30 slots for entertainment for Sunday and 20 are already filled. Bryan would like Male (non drag) entertainment.
iii. Bryan is going to talk to the city this week to see how much the $1,000 credit that we have is going to last for our security that we have to have for the Pride Fest.
iv. Anthony and Justin D are going to work on a letter that we have to send to the city about allowing Buddy’s, Saddle and the Garden to serve liquor on the streets at the Fest.
v. Anthony passed out the contract for Christine O’Leary. Jim Wilson asked why we are paying for 4 nights of room and board for her if she is just going to perform on Sunday. Anthony stated it was because she cut her cost in half and is going to be performing at the Ritual Café on Thursday night before Pride. Justin D brought up the idea of having JD from MTV Real World and his price. Marty brought up the thought that we are spending more money than what we actually had for entertainment. Anthony stated that we should open up the vote about having Christine at Pride this year. Mongo motioned the vote and Ed seconded it. Everyone in attendance was in favor of not having her and Tom was unsure and did not vote. Motioned approved. We suggested that when we talk to her we ask if she would be willing to perform at Ritual in August when she is back for Omaha’s pride.

V. Budget – Angela
a. The Budget Report as of Today is $16,585.14 in our account. This is without the remaining balance owed for Kristine W and $2,500 for the Pride Guide.
b. Angela would like all of the Committee chairs to send her their expected expenses by the end of next week (May 15th).
c. Angela stated that she received a check from Wells Fargo for $750, but they are a $3,000 sponsor. She is going to talk with Todd about what we should be expecting from them.

VI. T-Shirts – Anthony and Justin D
a. We have decided to go with Café Press. Justin D, Anthony, and Todd will work together to get it all set up and done before the next meeting.
b. Justin brought up that we should purchase 10 – 15 shirts that we can sell at Pride.


VII. Pride Brunch – Lora Fraracci
a. It will be held at the Grand Piano Bistro on June 14th 9-2.
b. Tickets are $20 from Iowa Tix and $25 at the door. If you pay an extra $5 at the door you will get all you can drink Mimosas.
c. We have 300 tickets to sell for this event. We estimate that we can make around $7,500.

VIII. Accountabilities – Justin
a. Justin, Todd, and Anthony will be working on the Café Press T-shirts
b. Tony Zika will be getting the pdf of the Garden pageant to Anthony for the blog
c. Bryan will get the Contract for Kristine W to Anthony
d. Justin M will send a copy of the email to Ed for the Parade participants
e. Justin M and Marty will get the email out to the parade participants
f. Justin M will contact Golf Carts of Iowa for the golf cart rentals for Pride
g. The CC will get expenses to Angela by the 15th.
h. Nancy and Anthony will work on the blog postings so they don’t say “Hosted by Capital City Pride”.

IX. Mongo motioned to adjourn the meeting at 7:50

o Need loading dock
• If we can find a loading dock to borrow for a few days to store Pride guides, we will save $100

• Ross: DSM born and raised, done event planning for last 11 years, state pageant director Miss Gay Iowa, Gay Youth Unlimited, basic understanding of Roberts Rules and happy to learn more
• Susie: coming to meetings since earlier this year, met with Meredith to go over position, educator for Planned Parenthood, member of lots of different GLBT/education organizations
• Anthony discussed the possibility of having co-chairs, as the by-laws are currently written it is not possible, though the bylaws are being re-written, so it is possible that they could be amended to allow for that

o Drafted conflicts of interest policy and articles of incorporation
o Discussed our financial relationship with One Iowa
• Legally, One Iowa cannot be required to give CCP all the money that comes in, we just need to trust them to do that
o Christine discussed fictitious name resolution, change of registered agent, and other documents we needed to update for 501c3
• Review Accountabilities for each committee chair
o Justin will clarify bylaws/rules committee issue with Allyn
o Anthony will email Todd list of media contacts for adding events to calendars
o Anthony will put something on blog looking for contestants for pageant
o Anthony will run email to last year’s vendors by Festival Committee and then send
o Susie will find out when we can advertise Crystal Waters and let Anthony know
o Justin will get needed forms to Secretary of State
o Allyn and Christine will get paperwork filed after Justin gets forms to Sec. of State
o Angela will get 2008 tax information to Justin

Rules – Meredith MacQuigg (Chair): Justin Derives was voted as ‘acting chair’ and if someone is interested we will vote at that time.
Fundraising – Todd Kruckenberg (Chair), Megan Lyman: Marty talked about putting together the Prelims for Mr. and Mrs. Pride. Marty talked about buying crowns and having Pride maintain ownership. Pride links are for sale and available.
Parade – Justin Murdock (Co-Chair), Marty Larson (Co-Chair)

-Discuss adding carnival games.
-Bryan talked about having wrist bands and it’s cost will be $3 per day or $5 for both days.

o Communications – 3 people volunteered to be in charge of Pride guide, still seeking cover art for Pride guide, Ads reserved by April 3rd
• Discussed why we are having several logos
• Clarified; artists within communication committee are designing cover for Pride Guide based on current logos
• Alan asked about if Coke has a problem with our logo, Anthony said that Cyndi Wiley did get it approved through Coke’s art department
• Anthony also passed out cards
• Anthony also passed out information on which committee member is in charge of which electronic communication medium
• Website is set up currently so that any person can add events to the calendar, will be checked for appropriateness

• $566 check for pride from bingo, beer bust, and collection boxes at Pride
• Changed sponsorship level, created individual/family sponsorship, open to ideas/suggestions
• Passed around suggested template for volunteer restructuring
• Pride wristbands (like Livestrong), proposed to buy 2000 at 18 cents each, sell for $2, also for 10 cents extra we can get
• 18 people on the fundraising committee can sell at bars, churches, businesses, etc.
• 10 days turnaround time, can reorder if we sell out
• Motion to buy 2000 bracelets saying Capital City Pride
• Shot glasses would cost about $1.28 per shot glass for 144
• Suggestion – bars could buy them, $4 shots, $2 to bar and $2 to Pride
• Vendor fees/sponsorship fees are separate from individual/family sponsorship
• Corporate Sponsorship fees proposal top sponsor $5000 will sponsor main stage, $4000 parade sponsor, $3000 PrideFest sponsor, $2000 honor wall sponsor, $1000 pride brunch
• Motion to approve individual friends and family sponsorship levels
• Motion to approve corporate sponsorship levels (postponed to online vote for Monday)
o Alan and Justin and Stinky have been working on 501© 3, will meet Friday to begin process (20-30 hours of legal work)
o Parade a lot of new people are involved, street closure approved
o Stinky, street closures approved, working on entertainments

• Budget Updates
o All expenses from last year are paid, we are $70 in the red starting the year
o Angela is the only person able to withdraw money from the account
o US Bank is our bank
o Jim mentioned that Wells Fargo has supported us in the past, and we should look at our sponsors
o Decided not to change banks at this time, but to talk to Wells Fargo re: supporting Pride in the future

Megan approached US Cellular, her employer, and they will provide cell phones for key players to use during festival so they are not using their own minutes
She also approached them about sponsorship, and they are working on some kind of additional involvement
Mongo mentioned that there is a Pride bingo fundraiser January
31st 2pm, donation at the door, raffles, etc.
Pride Chain – each bar can have strips of paper, sell chains,
competition

Stinky proposed festival location for Saturday and Sunday move to East Village
The committee voted to move the festival from Simon Estes
Must leave a 22 foot fire lane
New city ordinance: any businesses in the area (The Continental, The Underground) have to have a letter from us before they can sell in the street
If you are not a sponsor, they would pay flat fee, or percentage
The committee will discuss this further and come back with a proposal
*Parade -- Justin & Marty (Co—Chairs)
Justin showed new parade route
We did vote to accept new parade route
Marty shared that they have several volunteers already lined up
Want to get more diversity in parade line-up
*Also talked about Mr./Ms./Ms. Teen/Mr. Teen
Their contracts do say that they will fundraise and assist with Pride
Anthony is working with Evian to make that happen
Mongo also proposed the Saddle wanting to have a Mr/Ms Latino

Mongo & Stinky will finalize proposal on wristbands/vendor fees and bring back to committee

Ed will keep trying to get annual meeting minutes on website
Justin will keep working on proposal to switch meeting time/day
